RESPONSIBILITIES:

The Administrative Assistant role provides support to the North American Commercial Team and reports to Management also located in Olin’s Houston Office. The daily activities include, but are not limited to, managing phone inquiries, documentation, creating and editing presentations, travel arrangements, expense report processing, customer meeting and event coordination, mail processing, general office support and special projects.

Essential Job Functions:

  • Customer support

  • Communication (written, verbal and listening)

  • Decision making and problem solving

  • Display proficiency in Microsoft Office applications

  • Prioritize workload, meet deadlines, and assist with managing team workload

  • Share best practices and promote change initiatives

  • Provide primary administrative support as requested and tasks may include:

  • Create documentation and presentations

  • Manage travel arrangements

  • Coordinate customer meeting and special events

  • Complete mail processing

  • Coordinate special projects, reporting and procurement activities

  • Manage calendars for multiple individuals

  • Submit timely expense reports, including coordinating receipt submission and business explanations of expenses.

  • Understand and use various systems based on business needs

  • Lead high-profile, urgent client requests

  • Work with assigned back-up to ensure client coverage

  • Document requests in group specified application for business purposes and to count toward monthly metrics

  • Identify, update, and communicate work process changes

Required Qualifications:

  • A minimum of 5 years of administrative support experience

  • Proficiency in Microsoft Office

  • Proven ability to learn new systems quickly

  • Strong written and verbal communication skills.

  • Exceptional interpersonal skills

  • Problem solving and time management skills

  • Demonstrated leadership skills

  • A self-starter who can identify, prioritize and accomplish multiple tasks

Preferred Qualifications:

  • Executive level Administrative or Office Support

  • Experience working within a matrixed organization

  • Experience in supporting multiple Managers

  • Minimum of 3 years of experience supporting a Sales or Marketing Organization or Company Director/Executive

  • Experience in the Chemical Industry or downstream Markets

  • Working knowledge of Salesforce (CRM)

  • The ideal candidate will have worked for a midsize Company or larger in an office that is collaborative, efficient, productive, promotes a positive Company culture, and delivers results in a timely manner

Education:

  • High school diploma or GED is required.

  • Associate’s degree or Bachelor’s Degree in Administration, Marketing or Public Relations or similar field preferred.
