Job Description

Provides advanced level administrative assistance on behalf of a major service unit or department within the university. Maintains financial data, which includes monthly budget and status reports.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.

Responsibilities:

50% Responsible for daily operation of the Office of Diversity and Inclusion and International Programs, and Study Abroad office. Duties include: Assist in implementation of programs and activities, including making logistical arrangements for programs, contacting performers, completing contracts; open and close the office, manage front office appearance and tone to be inviting, attractive, and functional; maintain appointment calendars for both directors and prepare their correspondence as directed; maintain service delivery database and records for tracking attendance and program participation; maintain front office appearance and tone to be inviting, attractive, and functional; manage/implement large mailings; manage office supplies, equipment, and inventory; manage all paperwork necessary for office efficiency, i.e. work orders, personnel action forms, travel reimbursement, purchase orders, and vouchers; maintain an efficient filing system; pick up and distribute mail; and, maintain strictest levels of confidentiality and integrity.

20% Supervise and train student workers; assist in evaluating student workers; assist in the recruitment, interviewing, and hiring process of student workers.

20% Maintain budgets and use software to deliver monthly reports; handle all monies received and make deposits; maintain working knowledge of Tarleton policies and procedures related to budget; reimbursement, and travel; reconcile staff members procurement cards; pay all office related bills.

5% Answer and transfer calls, relay messages, and check voice mail, for both office phones.

5% Additional duties as assigned by the directors.

Required Education and Experience:High school diploma or equivalent combination of education and experience. Four years of related experience in general office or clerical work.

Required Knowledge, Skills and Abilities:Knowledge of word processing, spreadsheet, and database applications. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to multitask and work cooperatively with others. Ability to work in a high stress environment. Ability to work with sensitive information and maintain confidentiality. Ability to work independently once given a project.
